Role: Maintains professional, safe and customer oriented reception environment while providing additional administrative support as needed. 

 

Essential Functions & Responsibilities:

  • Open/close the building, following security protocols
  • Manages visitor sign-in process, including maintenance of sign-in/out equipment and distribution/collection of visitor badges
    • Ensures all visitors and guests are greeted respectfully and directed to their proper destination or to appropriate Staff
    • Tracks and logs Tours for all departments
  • Ensures all phone calls and voicemails are triaged and routed appropriately.
  • Triages info@hsireno.com account, routes emails and inquiries to appropriate Staff, and follows up the ensure a response occurred
  • Tactfully works through challenging and sensitive situations independently, and forwards sensitive issues to appropriate Staff
  • Proactively addresses opportunities to improve reception and Front Office operations, coordinating with department managers and other leaders as needed
  • Oversees offices supplies inventory, coordinates with others (i.e. Purchasing and I.T.) as needed
  • Maintains effective flow of incoming and outgoing messages, mail, faxes and other information as needed; maintains absolute discretion when handling and distributing confidential and sensitive documents, including routing to a variety of on-site and off-site locations
  • Oversees mail distribution; maintains and updates staff contact list and email distribution lists for internal and external distribution, and updates other Front Office documents and manuals
  • Coordinates front desk coverage as needed; provides guidance and support as appropriate
  • Provides daily support to Admin staff and other departments as needed (i.e. Accounting assist with Bank reconciliations, conduct vendor research; Fund Development assist with event planning, etc.)
  • Maintain telephone outgoing messages, and digital and physical notifications of facility closures (including holidays) and other timely information for service providers, clients and general public.
  • Attends meetings for and assists with various events and projects as needed, schedule permitting
  • Runs occasional general office errands, including programs and administrative bank deposits, deliveries/pick-ups
  • Manages Training & Meeting Rooms calendar, interfaces with Departments and Leadership as needed to coordinate and communicate scheduling
  • Reports safety and other workplace concerns to Supervisor and/or appropriate manager(s).

Qualifications/Requirements:

 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Language Skills: Written and spoken fluency in English. Spanish language skills are a plus.

 

Mathematical Skills: Ability to count, calculate figures, time, and amounts such as percentages and to interpret graphs and use a calculator.

 

Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

 

Education and/or Experience:  High School Diploma or Equivalent. Preference will be given to people with related experience.

 

Certificates, Licenses, Registrations: Valid Nevada Driver's License with acceptable driving record

 

Other:

 

  • Ability to meet drug testing and background check requirements of the Organization
  • Excellent communication and interpersonal skills required to interact kindly and professionally with a variety of populations (e.g. people served, guardians/providers, other customers, co-workers);
    • Ability to positively represent HSI/WARC in a professional manner and appearance, and effectively describe programs and services offered
    • Ability to be assertive when necessary while enforcing customer/visitor triage procedures
  • Proficiency in MS Office Suite and the ability to utilize PC software applications
  • Ability to effectively multitask and tactfully manage competing priorities or simultaneous requests, including the ability to calmly respond to challenges or crisis situations
  • Ability to retain and apply training and knowledge to carry out duties of position
  • Ability to problem solve independently and work under little or no supervision
  • Ability to handle sensitive communications with confidentiality and as otherwise appropriate
  • Ability to show initiative and demonstrate commitment to continuous quality improvement; includes the ability to independently create and develop administrative systems applicable to role, cooperating with other departments as appropriate
